Before you improve the process, understand the problem flow
Small business owners and emerging consultants often move quickly into solution mode because they are used to figuring things out.
But the first visible problem is not always the real problem.
A missed deadline may point to unclear ownership.
A frustrating client experience may point to a weak intake process.
A messy workflow may point to decisions that were never clearly defined. When you fix the symptom too quickly, you may get temporary relief without creating real 𝗯𝘂𝘀𝗶𝗻𝗲𝘀𝘀 𝗰𝗹𝗮𝗿𝗶𝘁𝘆.
A better approach is to pause and understand the flow.
What comes in?
What should happen next?
Where does the work slow down?
Who needs what information?
What decision is unclear?
What outcome are we trying to create? That is where 𝗽𝗿𝗼𝗰𝗲𝘀𝘀 𝘁𝗵𝗶𝗻𝗸𝗶𝗻𝗴 helps.
𝗦𝘁𝗿𝗮𝘁𝗲𝗴𝗶𝗰 𝗽𝗿𝗼𝗯𝗹𝗲𝗺-𝘀𝗼𝗹𝘃𝗶𝗻𝗴 is not just about finding an answer. It is about seeing the inputs, dependencies, decision points, and gaps that shape the outcome.
When you understand the problem flow, your solution becomes more focused, practical, and sustainable. That is how you create better 𝗱𝗲𝗰𝗶𝘀𝗶𝗼𝗻-𝗺𝗮𝗸𝗶𝗻𝗴 𝘀𝘂𝗽𝗽𝗼𝗿𝘁, stronger 𝗼𝗽𝗲𝗿𝗮𝘁𝗶𝗼𝗻𝗮𝗹 𝗰𝗹𝗮𝗿𝗶𝘁𝘆, and real 𝗯𝘂𝘀𝗶𝗻𝗲𝘀𝘀 𝗽𝗿𝗼𝗰𝗲𝘀𝘀 𝗶𝗺𝗽𝗿𝗼𝘃𝗲𝗺𝗲𝗻𝘁.
Before changing a workflow, use 𝗽𝗿𝗮𝗰𝘁𝗶𝗰𝗮𝗹 𝗳𝗿𝗮𝗺𝗲𝘄𝗼𝗿𝗸𝘀 to map it in five steps:
Trigger → Input → Action → Decision → Output
That simple structure can reveal where the real issue lives.
Where do you usually begin when a business process is not working?

@TAGSamuel Moving fast to fix a process without clarity just means we end up solving the wrong problems at record speed. Great reminder 😃

I definitely have a habit of wanting to jump straight into solution mode when things go wrong, but treating a symptom just guarantees the issue will pop up again later. Taking a step back to actually map out the problem flow first is such a better approach for sustainable business process improvement. When a workflow breaks down, I almost always start by looking directly at the hand-offs between team members to see where the clarity dropped!

Some new tools could help to clarify some of process problems, quicker and sharper.
